This Policy explains how we handle personal information when you use Havyn, with particular care for the data of children. It is written to align with the Nigeria Data Protection Act 2023 (NDPA) and related regulations.

1. Who we are

Havyn is operated by Alpha Global Tech and Consulting (“AGT”, “we”, “us”), a company registered in Nigeria. This Policy applies to our websites at gethavyn.app and to our mobile and web applications.

2. Controller and processor: an important distinction

Much of the personal information in Havyn (children, guardians, and staff records) is entered by an organization, such as a worship center, school, or daycare, to run its own check-in and safeguarding. For that information, the organization is the data controller; it decides what is collected and why. AGT acts as a data processor and handles that information only on the organization’s instructions and to provide the service.

For information we collect to run our own business, for example administrator account details, billing records, and usage analytics, AGT is the data controller.

If you are a parent or guardian and want to access, correct, or delete a child’s record, please contact the organization that registered the child. We will support that organization in responding to you.

3. Information we collect

Depending on how Havyn is used, we may process:

  • Administrator and worker data: name, email address, phone number, role, and the organization you belong to.
  • Guardian and parent data: name, contact details, and the relationship to a child.
  • Children’s data (entered by organizations): name, photograph, approximate age or birthday, check-in and check-out records, authorized pickup details, and any safeguarding notes the organization chooses to keep.
  • Payment data: plan and billing records. Card details are handled by our payment processor (Paystack), not stored by us.
  • Technical and usage data: device and app information, log data, IP address, and lightweight usage signals (for example, that an account opened the app on a given day) used to keep the service reliable and to understand engagement.

4. How and why we use information

We use personal information to provide, secure, and improve Havyn; to verify check-in and pickup; to send service-related notifications; to process payments; to provide support; and to meet legal obligations. Our lawful bases under the NDPA include performance of a contract, your consent, our legitimate interests in operating a secure service, and compliance with legal obligations. Where we rely on consent, you may withdraw it at any time.

5. Children’s data: special care

We recognize that children’s data deserves heightened protection. We process it only as a processor, on the instruction of the organization that controls it, and only to provide the check-in and safeguarding features. Organizations are responsible for obtaining parental or guardian consent before entering a child’s information. We apply data minimization, access controls, and retention limits to this data, and we never sell it or use it for advertising.

6. How we share information

We do not sell personal information. We share it only:

  • With service providers who help us run Havyn under contract, including hosting and database (Supabase), payments (Paystack), push notifications (Expo), and email or SMS delivery providers.
  • Within your organization, with the administrators and workers your organization authorizes.
  • Where required by law, or to protect the rights, safety, and security of children, users, the public, or AGT.
  • In connection with a business transfer (such as a merger or acquisition), subject to this Policy.

7. International transfers

Some of our service providers may process data outside Nigeria. Where that happens, we take steps intended to ensure the data remains protected to a standard consistent with the NDPA, including contractual safeguards with those providers.

8. Security

We use technical and organizational measures to protect personal information, including encryption in transit, access controls, and restricted administrative access. No system is perfectly secure, but we work to protect your data and to respond promptly to any incident in line with our legal obligations.

9. Data retention

We keep personal information for as long as needed to provide the service to the controlling organization, and afterwards only as long as required for legitimate business or legal purposes. When an organization deletes a record or closes its account, we delete or de-identify the associated data within a reasonable period, subject to backups and legal retention requirements.

10. Your rights

Subject to the NDPA and to the controller relationship described above, you have the right to access your personal information, to ask for correction or deletion, to object to or restrict certain processing, to data portability, and to withdraw consent. You also have the right to lodge a complaint with the Nigeria Data Protection Commission (NDPC).

To exercise these rights for your own account data, contact us at the details below. For a child’s record, contact the organization that registered the child, and we will assist them.

11. Cookies and local storage

Our web app uses cookies and similar storage that are necessary to keep you signed in and to operate the service. We use only limited, privacy-respecting analytics to understand usage. We do not use advertising trackers.

12. Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will take reasonable steps to notify you. The “last updated” date above shows when this version took effect.
